Booking Terms and Conditions

These terms of business for travel bookings “Terms and Conditions” are between Reho Travel Pty Ltd T/A Reho Study Tours (referred to as “Reho Travel Pty Ltd”, “Reho Study Tours”, “We”, “Our” or “Us”) and any person making a Booking with Us (referred to as “You” or “Participant”).

Please ensure you read these Terms and Conditions carefully. By making a booking with Reho Study Tours, you agree to be bound by these Terms and Conditions.

Reho Study Tours reserves the right to amend these Terms and Conditions at any time. Any variations to these Terms and Conditions will only apply to bookings made after these Terms and Conditions have been updated.

1. Definitions

1.1 In these Terms and Conditions:

“Program” means an organised group travel experience. 

You” or “Participant” means the person who is booked on and taking part in the Program. 

“Group Authority” means the entity or person responsible for the organisation of the Program. 

“Force Majeure Event” means such “acts of God” or force majeure events as actual or threats of: epidemics or pandemics, or other public health issues or emergencies (such as but not limited to the current COVID-19 pandemic); severe weather events or natural disasters such as but not limited to hurricanes, earthquakes, tsunamis, tornadoes, fires, floods, volcanic activity, or landslides; war (whether declared or undeclared); terrorist activities; instability in a destination location; incidents of violence, riot, sabotage, civil commotion, or nationalization; strikes or labour disputes or lockouts; government orders, sanctions, actual or potential quarantines, or other restrictions affecting travel in, to, or around a location; disruption to transportation; chemical or radioactive contamination; or any other reason that makes it actually or potentially impossible or illegal for Reho Study Tours to conduct the tour as originally contracted. 

“Provider” means a company or organization that sells a particular type of product or service.  

“Supplier” means a person, company, or country that provides goods of a particular kind. 

“Travel Voucher” means an electronic certificate, that can be used towards the cost of any future travel booked with Reho Travel Pty Ltd or Reho Study Tours.

“Unrecoverable Cost” means any monies paid to a third-party Supplier which, despite the best efforts of Reho Travel Pty Ltd, is unable to be refunded in the event of cancellation.

2. Payment

2.1 You are required to pay a non-refundable deposit to confirm your position on a Program.

2.2 All payments must be received by the stated due dates, regardless of any loan, support, or grants that you have applied for through a bank, university or otherwise. 

2.3 Final payment will be due 60 days prior to the start date of the program, unless otherwise stated in writing.

2.4 If your final payment is not received by the due date, we reserve the right to treat your booking as cancelled and any cancellation charges outlined in section (Cancellation by You) will apply.

2.5 Payments are non-transferable.

2.6 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

2.7 All payments related to your Study Tour must be made through the TRIPS.RST portal using a credit card.

2.8 All surcharge amounts mentioned herein do not include any applicable Goods and Services Tax (GST).

2.9 A surcharge of 1.8% will be applied to Visa, MasterCard, American Express, Diner's Club, and Debit Card transactions. Each surcharge is exclusive of any applicable GST.

2.10 By using our services, you hereby authorize us to charge all fees incurred by you to the credit card or debit card you have designated. In the event that payment is not received from the card issuer or its agents for any reason, you agree to promptly settle all outstanding amounts upon our request.

2.11 You have the option to securely store your credit card details with us. These details may be used for future transactions, including those agreed upon over the phone or via email. You retain the choice to remove your saved credit card details at any time.

3. Cooling-Off Period

3.1 Your deposit will be refunded if you withdraw from the program within five (5) days of registration, provided that the registration has been completed 60 or more days prior to departure.

3.2 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

4. Program Price

4.1 All prices are in Australian Dollars (AUD) unless otherwise stated in writing.

4.2 The Program price is a package fee and cannot be divided or broken into segments.

4.3 The final program price may be reassessed prior to the final payment due date, if the minimum number of participants is not reached.

4.4 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

5. Cancellation by You

5.1 Notice of cancellation will only be accepted in writing from you, your legal guardian, or a Group Authority.

5.2 A cancellation will only be effective upon receipt and acknowledgement of the written notification by Reho Study Tours.

5.3 In order to qualify for a refund in accordance with Reho Study Tours Standard Cancellation Policy, all payments must be received on time.

5.4 If you cancel your position on a Program, for any reason, the following cancellation fees will apply;

61 or more days prior to departure: A full refund will be issued, less the non-refundable Program deposit

60 or less days prior to departure:  No refund will be issued

Day of departure: No refund will be issued

After departure:  No refund will be issued

5.5 Cancellation fees outlined in 5.4 exclude Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

5.6 No refund will be issued for any Program component that you do not utilise, attend, or fully participate in for any reason.

5.7 No refund will be issued if you fail to join a Program, join a Program after its departure, or leave a Program prior to its completion, for any reason.

5.8 In the event of any cancellation, there will be no claim for damages by either party against the other and Reho Study Tours is not responsible for any incidental expenses that you may have incurred as a result of their booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.

5.9 Refundable Payments: The additional fee to upgrade to a Refundable Payment is non-refundable once selected and paid for. If you have purchased the Refundable Payment option, you will be eligible for a 100% refund if you can no longer attend a Program and can evidence one of the many reasons included, such as COVID-19 infection, isolation, family illness, sickness, home emergency, change of examination dates and adverse weather. 6. Cancellation by Reho Study Tours

6.1 In the event that Reho Study Tours is forced to cancel a Program prior to departure, a full refund will be issued, unless the Program is cancelled due to a Force Majeure Event, Government Border Closure or Travel Ban.

6.2 In the event of any cancellation, there will be no claim for damages by either party against the other and Reho Study Tours is not responsible for any incidental expenses that the Participant may have incurred as a result of their booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.

6.3 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

7. Cancellation due to a Force Majeure Event

7.1 In the event that a Program is cancelled prior to departure, due to a Force Majeure Event, you may choose one of the following options:

(a) Receive a credit (subject to Section 9: Conditions of Credit); or

(b) Receive a refund, less reasonable unrecoverable costs.

7.2 In the event that the Program is cancelled after departure, due to a Force Majeure Event, you may choose a pro-rata of one of the following options:

(a) Receive a credit (subject to Section 9: Conditions of Credit); or

(b) Receive a refund, less reasonable unrecoverable costs.

7.3 In the event of any cancellation, there will be no claim for damages by either party against the other and Reho Study Tours is not responsible for any incidental expenses that the Participant may have incurred as a result of their booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.

7.4 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

8. Cancellation due to Government Border Closure or Travel Ban (Reassure Policy)

8.1 The Reassure Policy can only be enacted by the Group Authority and must be applied to the entire group

8.2 The Reassure Policy can only be enacted by the Group Authority in the following situations:

(a) A government authority has issued a travel ban or an order restricting travel to or from a location in the Program itinerary;

(b) A government order applicable to a location in the Program itinerary would ban or restrict travel or require Participants to self-quarantine or isolate for more than 48 hours upon arrival into that country;

(c) A federal or state government authority has issued an order that would require a Participant to self-quarantine or isolate for more than 48 hours upon their return to Australia; or

(d) A location included in the Program itinerary is upgraded to a Travel Advisory Level 3 or 4 by the Department of Foreign Affairs and Trade.

8.3 If the Reassure Policy is enacted 60 or more days prior to departure, the Group Authority may choose one of the following options:

(a) Change the travel dates or itinerary of the Program;

(b) Cancel the Program with each Participant receiving a credit (subject to Section 9: Conditions of Credit); or

(c) Cancel the Program with each Participant receiving a refund, less the non-refundable Program deposit.

8.4 If the Reassure Policy is enacted 59 or less days prior to departure, the Group Authority may choose one of the following options:

(a) Change the travel dates or itinerary of the Program;

(b) Cancel the Program with each Participant receiving a credit (subject to Section 9: Conditions of Credit); or

(c) Cancel the Program with each Participant receiving a refund, less the non-refundable Program deposit and reasonable unrecoverable costs.

8.5 Benefits of the Reassure Policy are only available to the entire group and not to individual Participants.

8.6 The departure date of the revised Program must commence within 12 months of the original Program departure date.

8.7 If the revised Program has a higher price than the original Program, the Participant will be required to pay the difference as a condition of traveling on the revised Program.

8.8 If the revised Program has a lower price than the original Program, the Participant will be refunded the difference.

8.9 If the group does not travel on the original Program, travel on a revised Program, or receive a future travel voucher, the Standard Cancellation Policy will apply.

8.10 If a Participant cancels from a Revised Program, they will receive a credit (subject to Section 9: Conditions of Credit).

8.11 In the event that the Group Authority elects to replace components or book additional components of a Program against the advice of Reho Study Tours, or with Providers or Suppliers not affiliated with Reho Study Tours, then Reho Study Tours maintains the right to void or amend the Standard Reassure Policy.

8.12 Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

9. Conditions of Credit

9.1 Any Credit resulting from a cancellation:

(a) Will be provided in the form of a Travel Voucher;

(b) Will be for 100% of all monies paid to Reho Study Tours, less reasonable unrecoverable costs, credit cards fees and Refundable Booking fees;

(c) Is valid for 12 months from the date of issue;

(d) Is not redeemable for cash; and

(e) Excludes Custom Flights as they have their own Booking Terms and Conditions, refer to Section 10: Custom Flights.

10. Custom Flights

10.1 If you have purchased Custom Flights, your flight booking will be bound by the Reho Travel Booking Terms and Conditions. Full Reho Travel Booking Terms and Conditions can be viewed at www.reho.com/reho-travel-terms-and-conditions/.

11. COVID-19 (Coronavirus)

11.1 Reho Study Tours is not responsible and shall not be liable to any Participant for any destination-imposed travel or entry requirement related to COVID-19, including but not limited to vaccination, testing, or other public health requirements.

11.2 If you cancel because you are unwilling or unable to comply with such travel or entry requirements, cancellation fees as per Section 5: Cancellation by You, will be applied.

12. Passports and Visas

12.1 Passports must have an expiry date of at least six (6) months after your scheduled return date to Australia.

12.2 It is your responsibility to obtain information and to have in your possession all the required documentation and identification required for entry, departure and travel to each country or region you visit on your trip. This includes a valid passport and all travel documents required by the relevant governmental authorities including all visas, permits and certificates (including but not limited to vaccination or medical certificates) and insurance policies.

12.3 If for any reason, you fail to obtain the required documentation and identification required for entry, departure and travel to each country or region you visit on your trip, cancellation fees as per Section 5: Cancellation by You, will be applied.

13. Traveller Name

13.1 Travellers who have not yet applied for a passport when completing their registration, should provide their full name and date of birth as they intend for it to appear in their passport

13.2 The name on your e-tickets, itineraries and all other documents must be an exact match to the name shown in your passport, it is your responsibility to check these documents and advise Reho Study Tours, in writing, of any discrepancies

13.3 It is your responsibility to check e-tickets, itineraries and all other documents that have been issued by Reho Study Tours to ensure the correct name is displayed. You are required to check all documents provided to you within twenty-four (24) hours of receipt and advise Reho Study Tours of any discrepancies, in writing, within this time.

13.4 Airlines have the right to refuse boarding to any traveller who carries an e-ticket issued with the incorrect name. Reho Study Tours is not responsible for any costs incurred because of your failure to check or adhere to these requirements

13.5 If a name correction is required on your e-ticket, itinerary or any other component included in your program fee, name correction fees will be charged.

14. Travel Insurance

14.1 It is compulsory that you take out travel insurance before you travel. We recommend that your travel insurance be taken out at the time of your deposit payment and cover cancellation, personal liability, loss of personal property, personal injury, death, medical expenses, repatriation expenses and evacuation expenses

14.2 Please check that your insurance covers all the activities that you are going to be participating in as some policies exclude certain adventure activities

14.3 Reho Study Tours will not be held responsible for your failure to take out appropriate insurance

14.4 You agree to indemnify Reho Study Tours, and all its entities, against all third-party claims, actions, damages, and remedies which may be brought against us in respect of your participation in the program

14.5 If the reason for your cancellation or itinerary amendment falls within the terms of any travel insurance policy you hold, then any such charges may, subject to the terms of your insurance policy, be refunded to you by the insurance company.

15. Acceptance of Risk

15.1 You acknowledge that the nature of the trip may be adventurous, and participation involves a degree of personal risk. You may be visiting places where the political, cultural, and geographical attributes present dangers and physical challenges greater than those present in your daily life.

15.2 You acknowledge that you are choosing to travel at a time where you may be exposed to the COVID-19 virus. It is your own responsibility to acquaint yourself with all relevant travel information, including applicable health risks. You acknowledge that your decision to travel is made based on your own consideration of this information, and you acknowledge and agree that you are aware of, and assume responsibility for, the risks associated with traveling at this time. To the fullest extent permitted by law, we accept no liability in relation to these additional risks.

16. Authority on Tour

16.1 Programs are led by a group leader. The decision of the group leader is final on all matters likely to affect the safety or well-being of any traveller or staff member participating in the trip. If you fail to comply with a decision made by a group leader or interfere with the well-being or mobility of the group, the group leader may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must always comply with the laws, customs, foreign exchange, and drug regulations of all countries visited, and you also agree to travel in accordance with our Responsible Travel Guidelines.

17. Issues or Complaints

17.1 In the event of a problem with any aspect of your program, you are obliged to make a Reho Study Tours representative or a local supplier aware of such problems immediately.

17.2 We will only consider claims where we or our suppliers have had the opportunity to put things right at the time, and where the claim has been received by us, in writing, within 30 days from the end of the services provided by us, otherwise, you will not be able to make the claim.

18. Your Personal Information

18.1 Any personal information that we collect about you may be used for any purpose associated with the operation of the program or to send you marketing material. The information may be disclosed to your tour leaders, our service providers, or other suppliers to enable us to operate the program. For more information about how we treat your personal information please refer to our Privacy Policy.

19. Contracting Parties

19.1 The Booking Conditions detailed herein contain the entire contract between you and Reho Study Tours. No representation, term, warranty, or condition can be expressed or implied by reference to any other writing, advertisement, or conversation. This contract may only be varied in writing by an employee of Reho Study Tours

20. Law of Contract

20.1 Reho Travel Pty Ltd T/A Reho Study Tours and its suppliers, including airlines, do not accept liability in contract or in tort (actionable wrong) for any injury, damage, loss, delay, additional expense or inconvenience caused directly, or indirectly by events beyond our control, or which are not preventable by reasonable diligence on our part including but not limited to, war, civil disturbance, fire, flood, unusually severe weather, acts of God, acts of Government or other authorities, accident to or failure to machinery or equipment, or industrial action (whether or not involving its employees and even though such actions may be settled by acceding to the demand of a labour group). Reho Travel Pty Ltd T/A Reho Study Tours cannot accept responsibility for subsequent changes or withdrawal of prices, details or services which are subject to change without notice. This contract is governed by the law of the State of Victoria.

21. PRIVACY AND CONFIDENTIALITY

21.1 Information We obtain from You, or your representative, is reasonably necessary for Our business purposes or in providing the Service to You, and You acknowledge, agree and consent to Reho Travel Pty Ltd providing any such information to the Travel Supplier.

21.2 All personal information, as defined under the Privacy Act 1988 (Cth) is collected, stored, and used by Us in accordance with Our privacy policy which can be viewed at www.reho.travel

21.3 Neither party may use Confidential Information for any purpose not contemplated by these Terms and Conditions. We will restrict access to any Confidential Information supplied to those in Our organisation who need such access to perform their duties in providing the Service.

21.4 If Confidential Information is disclosed, the Receiving Party will ensure it is used for the sole and exclusive purpose of fulfilling any obligations it has under these Terms and Conditions. The Receiving Party will not, without written consent of the Disclosing Party, disclose any such Confidential Information to any other person or entity.
